  • Tutor Data: Limited information such as qualifications, experience, references, and background checks for tutor management and compliance purposes.

  • Financial and Transaction Data: Bank account and payment card details, and details about services purchased. Payments are processed securely by Stripe through TutorCruncher. We do not store your full payment card details.

  • Technical and Usage Data: Internet protocol (IP) address, login data, browser type and version, time zone setting and location, browser plug-ins, operating system, and platform. This also includes how you use our website and services.

  • Session Recordings: Only upon your request, we may record online tutoring sessions. You will always be notified when a recording is taking place.

  • Direct interactions: When you fill out forms on our website, join our free “Get to Know You” meeting, or contact us by phone, email, or message.

  • Automated technologies: As you interact with our website, we collect Technical Data using cookies and similar technologies.

    • TutorCruncher: For client, tutor, and lesson management.

    • Stripe: For secure payment processing.

4. How We Use Your Personal Information

We only use your personal data when the law allows. Most commonly, we use it to:

  • Register you as a new client and provide tutoring services (including tutor matching).

  • Manage payments, fees, and charges.

  • Administer and protect our business and website.

  • Improve our website, services, and marketing through analytics.

  • Record online lessons (only upon your explicit request).

5. Our Legal Basis for Processing Your Data

    • Stripe – for secure payment processing.

    • Microsoft Teams, Zoom, Google Meet – for online lessons.

  • Professional advisers: Lawyers, accountants, insurers, and bankers.

  • Regulators or authorities: When legally required.

All third parties are required to keep your data secure and use it only for the agreed purpose.

7. International Transfers

Some of our service providers (e.g., TutorCruncher or online platforms) may transfer data outside the UK. We ensure your data remains protected by using:

  • Countries with adequacy decisions recognised by the UK, or

  • Standard Contractual Clauses (SCCs) that ensure equivalent data protection.

We endeavour to ensure that personal data is stored on UK or EEA-based servers. However, where our service providers transfer data outside the UK, we rely on the safeguards mentioned above to ensure its protection.

We take appropriate technical and organisational measures to protect your personal data against accidental loss, unauthorised access, or misuse. Access is limited to those who have a legitimate business need and are bound by confidentiality obligations.

  • Lesson Recordings: Retained for 30 days and then securely deleted, unless you download a copy.
